Introducing S.I.M.P.L.I.F.Y.©: The Be Organizing Method for Digital Organization

After years of working with clients from many different walks of life, we gained a profound understanding of the organizational challenges that people face specifically related to their digital life. This is why we created S.I.M.P.L.I.F.Y.©, the Be Organizing Method  — our own eight-step process to organize any area of your digital life, using storage solutions and automated tools to save important information, files and keep everything in the right place.

So, how does this method work? Read on to learn more.

  • S: Specify

Specify what your goals are. Why do you want to get digitally organized? What are your organizational objectives? What do you envision once the organization system is in place? 

  • I: Identify

Identify the best storage solution based on your specific goals and what you want to be able to do. It may be a program, app, cloud, in your documents folder on your computer, external HD, or other digital tool. You may need to research to find the best solution. There may be a solution that doesn’t fit perfectly but select the closest to try. ⁠

  • M: Map Out

Map out your organizational structure or system based on your goals. Outline and write down what it will look like based on the categories you need to organize.  For example, for files, decide what your folders and subfolders will be named.

  • P: Pull

Pull all the same type of digital files or information together into one digital location.  This could be a temporary location before moving it all to their final destination.  For example, copy all your photos from your old hard drives, CDs, iCloud, and Dropbox into one folder on an external hard drive.  This way they are all in one place to you will easily see everything you have and can continue on to the next steps. 

  • L: Lump

Lump like files and information together. Looking at what you have pulled together, are there any similar general categories that can be put together right away?  First macro categorize then micro categorize if needed. For example, client contracts may be in a similar category to customer profile data, so you want to lump these together to prepare for the next step. 

  • I: If unfit, trash it!

Anything that you no longer need or is a duplicate, trash it!  This means anything that is no longer valid, out of date, or otherwise useless. Don’t let outdated files and information clutter up your digital space. Delete it.

  • F: File

File whatever is left to be kept into the digital tool you Identified and into the organizational structure you Mapped Out.

  • Y: Year-round backup and maintenance

Make sure that all your files and information are backed up securely. Maintain your file structure regularly, which helps you continue to organize — and stay that way. Get into the habit of doing this and make tweaks to your organizational system as your goals and priorities change.
